Information for Participating Organizations

1. We have secured a partnership with the L.A. City Rec. & Parks.  They will be waiving permit and insurance fees for all the event organizers.  There are some exceptions for this, including if you want to charge for participation or sell things.  The additional permit is between $150 and $350.  They will also be providing one canopy, two chairs, and an 8' table for all event organizers.  These will be set up for us and broken down by park staff.

2. We have secured a partnership with L.A. City Council CD11 Councilwoman Traci Park.  She will be providing 16 portable restrooms, hand washing stations, and hydration stations.  As well, she will ensure that the restrooms on the boardwalk are pressure washed the night before the event.

3.  The event will run officially from 9:00 a.m.- 4:00 p.m. on Saturday, July 29, 2023.  However, there will be activities that start at 7:00 a.m. and events that go later than 4:00 p.m. So, no worries if you want to do either of those.

4.  The main stage will be on basketball courts 1 and 2.  We will leave court 3, closest to the boardwalk open for pick up games.  There will be a group exercise area adjacent to the main stage where group fitness/martial arts classes will be run as well as a martial arts expo area, complete with a tented mat.  There will be a fitness zone on the courts as well where local gyms will have areas to conduct workouts with participants.

5. All the other groups will be in the areas where they were in 2021.

6.  The kids area will be in the playground area next to the substation

7.  There are a few new groups joining us, and I have spoken with them regarding where they will be setting up.

8.  We are encouraging all the event organizers to have some sort of clinic, lesson or workshop early in the day geared towards beginners.  This is to encourage new people to join it. There will be lots of kids from other parks coming in, so consider having a kids clinic early in the day.

9.  The main stage, the martial arts, expo, and the Muscle Beach stage will all have an hour by hour itinerary and all the sporting events should too.  Please send me the  timeline for your event ASAP, even if it is not set in stone.  You can always change it, but we want to start putting together the individual sports itineraries as well as a master itinerary and map  ASAP.  Our aim is to get this info out to the public at least 2 months prior to the event so that people can save the date and come with a plan  that maximizes their time.

10.  The City requires people to sign a waiver to participate.  People will be able to do that ahead of time  and also the day of.  We will have a QR code for this and it will be on the website, flyers, posters, etc. The aim is to make this part super easy and fast, one or two clicks ideally.  At this point we think a wristband system might be used to identify registered people.  We will update on this soon.

11. Set up can start as early as 5:00 a.m.. and you can drive into the park right up to your area. All vehicles need to be out of the park by 8:30 a.m.

12. Breakdown is at 5:00 p.m.
